In-Person Symposium
ESOC 2025 will be an in-person event only, so all participants will need to be present in Copenhagen, Denmark. A virtual option will not be available for the 2025 Symposium.
Payment
You will be able to settle the payment by most major international credit cards as part of the online registration process. Payments can also be made by bank transfers until Friday, June 13, 2025.
Bank transfers must be made in Danish Kroner (DKK) to the order of ESOC 2024, c/o DIS Congress Service and remitted as follows:
- by bank transfer to IBAN DK5530004180786589 - Swift code: DABADKKK in Danske Bank, Holmens Kanal 2, DK-1090 Copenhagen K, Denmark.
- any bank fees must be covered by the participant.
IMPORTANT: Please remember to state ESOC and the participant’s name on all money transfers made to the symposium secretariat.
Registration fees include
- Admission to all sessions and the exhibition
- Symposium materials (printed Symposium handbook with short programme; online access to a complete programme with abstracts; sponsor & exhibitor materials)
- Tea, coffee and lunches throughout the Symposium
- Admission to the Opening Session followed by the Welcome Reception on Sunday afternoon and the Copenhagen City Hall Reception on Monday evening, June 30, 2025 hosted by the Copenhagen City Counsil..
- The registration fee for an accompanying person covers the same except the admission to sessions and Symposium materials.
Registration terms and conditions
- All registration fees are quoted and will be charged in Danish Kroner (DKK).
- Symposium registration fees are exempted from VAT in Denmark.
- Payment in any other currency will not be accepted.
- Banks charges and currency exchange charges are at the delegates own expense and should be factored in when transferring funds to ensure the full registration fee is received into the Symposium bank account.

Registration Cancellation Terms

- If you are not able to attend, you are welcome to give your registration to a colleague. Change of name is free of charge.
- No‐shows will not receive a refund.
- Symposium Dinner Cancellation – From June 1, 2025, 100% cancellation fee applies.
- Please allow up to 4 weeks to receive any refunds
VISA Invitation letters
- Creating an account in either the abstract without submitting an abstract or the registration portal without a participant registration and payment is not sufficient to request an invitation letter.
- Visa letters will only be provided if registration is completed and paid in full. It is advisable that you have booked and paid for accommodation for the duration of your stay also and this information should be included with your visa application.
- In case your VISA application has been declined, you will have the paid registration fee(s) reimbursed in full until April 8, 2025 and from April 9 the above Registration Cancellation Terms will be valid. Booked accommodation will be reimbursed according to the Hotel cancellation terms & conditions. To receive valid reimbursement you have to forward copy of the offiical letter from the Danish Embassy to certified that your application has been declined. Liability Waiver
The safety and well-being of our attendees is our top priority. The ESOC 2025 Organisers are committed to providing a safe environment for the event and will make every reasonable effort to do so. However, as an attendee, you must fully understand and knowingly, voluntarily and irrevocably assume all risk related to entry into, and presence in, at and around the event venue(s), which may include an increased risk of exposure to communicable diseases. As an attendee, you hereby accept personal responsibility for your voluntary participation in the event and assume all responsibility of claims and potential claims relating to any risks and hazards of attendance.
Insurance
Participants are kindly requested to arrange for their personal travel and health insurance. Neither the Symposium Organizers nor the Symposium Secretariat will assume any responsibility whatsoever for nonrefundable payments in event of no-show, cancellation prior to arrival, damage or injury to persons or property during the Symposium.
